Budget Request Form

This form is the initial step in creating a budget for a special event or a reoccurring ministry event. Fill out this form to begin the conversation with the finance department, which will follow up with you regarding your request.

If we are signing a contract, the Finance Team must see and approve before final submission.

If Ironwall is hired, it is a rate of $38/hour. What is the total projected cost for security for your event? Formula: # of hours times $38. (Note: Ironwall has a four hour minimum. If you go over 8 hours for your event, then the hourly rate is time and half.)

Will you be providing a meal, snack, drinks, etc? If so, what is the projected costs for each. Itemize below.

What do you project to spend on these three things? Itemize below.

Will there be any expenses for hosting a guest speaker? Ie, flights, hotel, mileage reimbursement, gift bag, etc.

Will the event be onsite at All Peoples Church and requesting childcare? If it is onsite, the hourly rate is San Diego minimum wage (currently $15/hour) times the number of workers. The minimum number of workers onsite is 2. Submitting this request does not mean that childcare request is approved. This is solely projecting the cost. Note: best practice is to not go into overtime for childcare workers.

If you are providing childcare, are there other fees associated with kids? Ie, food, games, etc.

Add up all of the above numbers and list that number total below.

You calculate that by:
- Total Projected Expenses = A
- Total number of projected attendees = B
- Divide A by B to get the fee to charge each attendee

Note: How do you account for fewer participants than projected?
